There are moments when you post an announcement yesterday that felt stiff, but the Instagram caption you wrote today is unusually lighthearted, leaving you wondering, ”Is this really our brand’s tone?” It is a dilemma that every small business owner experiences at least once.

Brand voice (Tone & Voice) is not a grandiose design task, but rather the "impression of tone" that customers feel when they encounter our brand. While it is just as important as a logo or color, it is often something that has never been systematically organized. Today, instead of complex theories, I will introduce how to define your brand voice using four questions.

Question 1. Who are we speaking to right now?

Even for the same product, your tone should differ when speaking to a student in their 20s living alone compared to your parents' generation in their 60s. Regularly review customer inquiries and comments to observe the tone used by the customers you interact with most frequently when asking questions. If there are many short and casual questions, you need to match that rhythm; however, if many customers ask using polite honorifics, a formal tone can build more trust.

Question 2. If you were a person, how would you describe our brand?

“This is an exercise in visualizing a brand as a person—whether it is a ”kind but lighthearted friend“ or a ”trustworthy expert.“ For instance, if it is a neighborhood bakery, describe it as a ”friendly neighbor who greets you every morning,“ or if it is a professional service, describe it as a ”person in charge who takes meticulous care of you.” Write down a specific image. The clearer this image is, the more composed you will be when writing a single announcement or reply.

Question 3. What expression will you absolutely never use?

Deciding what to 'not use' is surprisingly more effective than deciding what to 'use'. If you make a list in advance of expressions that don't fit the brand—such as excessive exclamation marks, overly technical jargon, or conversely, overly lighthearted jokes—the tone won't waver significantly even when you post hastily during a busy time. In fact, one workshop owner received feedback that their writing felt much calmer and more trustworthy after deciding not to use expressions like "jackpot" or "must-have.".

Question 4. If you were to describe us in one sentence

Finally, try summarizing your brand in a single sentence. If you create a short sentence like, “A cafe that serves as a friendly pause in a busy daily life,” you can check the tone against it whenever you write something new. Even if your staff grows or someone else manages your social media, this single sentence will serve as a standard.

If you summarize the answers to these four questions on a single page, that alone makes for an excellent brand voice guide. It doesn't have to be a grandiose brand strategy manual. The important thing is to have your own standards that allow you to maintain a consistent tone without having to agonize over it every time.

If your brand voice wavers, customers unconsciously sense that instability. Conversely, if your tone is consistent, customers will clearly remember the brand after just a few touchpoints. I recommend that you start by taking your time to answer the four questions introduced today.

[16
30,36,37,38
post-776","post","type-post","status-publish","format-standard","has-post-thumbnail","hentry","category-16","tag-30","tag-36","tag-37","tag-38
["GET
